Meetings, while often valuable collaborative opportunities, represent time that members of the team are not working on tangible work products. As such, meetings require clear purpose, documentation and outcomes to be considered valuable.

 

When scheduling a meeting:

    • Determine agenda and expected outcomes 
    • Determine availability of invitees
    • Circulate the agenda with the invitees to request feedback and ensure consensus on what needs to be discussed
    • Place agenda in invite body
      • If it’s not our meeting invite, send an email to all invitees with a proposed agenda at least 3 days in advance
    • If online add Zoom details
    • If in-person, add the address of the office to the calendar invite
    • If at our office and more than one attendee, book a conference room
    • Place conference room in the body of the calendar invite
